Key Responsibilities

  • Provide thought partnership and staffing support to the Special Events Manager
  • Track and manage event tasks in SEAS’ project management system to ensure transparency and accountability
  • Set up and break down event spaces, including tables, linens, chairs, podiums, coat racks, and staging
  • Handle audiovisual equipment (up to 20 pounds) for events
  • Assist with event logistics, including purchasing supplies, selecting venues, coordinating food and beverages, and arranging transportation and AV services
  • Manage speaker accommodations, travel, and logistics
  • Support event registration, guest communications, and promotional efforts
  • Assist with post-event reporting and expense reconciliation

Required Qualifications

  • 2+ years of professional experience
  • Strong commitment to customer service, quality, and teamwork
  • 1+ years of experience managing multiple projects
  • Proficiency in Google Suite and email marketing platforms (e.g., MailChimp)
  • Familiarity with project management software
