Job Overview

The Property Management Administrator plays an integral role in the day-to-day operations of the property management department, performing a wide-range of administrative tasks in prompt and meticulous manner to support the department in executing its mandate.

Responsibilities

  • Assist with tracking and executing lease notice provisions, lease renewals and assignments
  • Perform prompt and accurate entry of tenant information into departmental systems and maintain immaculate tenant records
  • Track and maintain tenant improvements
  • Prepare notices, correspondence and tenant default letters as required
  • Maintain and track service requests, liaising with the operations teams to facilitate service requests
  • Assist with the preparation of lease summaries when required
  • Assist with the preparation of tenant welcome packages and tracking documentation
  • Assist property managers with the facilitation of tenant move-in and move-out procedures
  • Maintain after-hours emergency black book
  • Maintain property information bibles
  • Act as a main point of contact for the property management department, triaging and directing calls as needed
  • Help with and provide coverage to the front desk as needed
  • Assist with property management bank deposits and accounts receivables
  • Administer tenant chargeback invoices
  • Assist with processing, collation and mailing of the annual common area maintenance budget, budget reconciliations, and property tax reconciliations
  • Prepare department reports, presentations and coordinate/facilitate departmental meetings
  • Assist with the completion of departmental time-off request forms as well as employee travel and expense forms
  • Ensure professional representation of the Bosa Development brand at all times.
  • Conduct oneself in a manner that is consistent with the Bosa Development core values.
  • Work closely with all departments to achieve company-wide goals

Qualifications & Skills

  • Certificate or diploma in administration or similar business-related discipline
  • 2 or more years of experience in administration, preferably in the real estate/construction industry
  • Strong computer literacy especially in the Microsoft Office suite of applications
  • Strong communication skills and business acumen
  • Excellent written and spoken English
  • High degrees of organization and attention to detail
  • Ability to work well under pressure with little supervision
  • Experience using Yardi Voyager is a strong asset
  • Applicants must currently hold valid, unrestricted work authorization in Canada. This position is not eligible for work-authorization sponsorship
