What You’ll Be Doing
Office Wizardry
- Keep the office humming like a well-tuned guitar by managing facilities, supplies, and vendor relationships.
- Be the friendly face (and voice) for clients, answering calls and emails with professionalism and directing inquiries to appropriate staff.
- Manage the payroll process ensuring hours are accurate and submitted on time to our payroll administrator.
- Support financial management by mastering the AR and AP invoicing process, handling expense reports and maintaining records of project profitability.
- Become proficient at utilizing our landscape management software.
- Collaborate with IT to make sure our tech is in tip-top shape.
- Streamline office policies and systems, making work-life smoother and more efficient for everyone.
- Plan and schedule team-building activities and employee recognition by bringing your creative flair to office events.
- Help hire awesome new teammates and make onboarding a breeze.
What You Bring
Required Awesomeness
- 3+ years office management or executive assistance
- Microsoft Office Suite wizardry
- Quickbooks proficiency
- Multitasking skills that put a circus juggler to shame
- A knack for solving problems before they even happen
Executive Superpowers
- Keep our team on track by managing calendars, organizing meetings and scheduling travel
- Serve as liaison between leadership and employees, promoting clear and effective communication across the organization
- Show off your ninja-level organizational skills with financial tracking and project profitability reports
- Handle communications with professionalism and the occasional dash of humor
- Create polished presentations and reports that impress
- Be a trusted confidant, safeguarding sensitive information like a pro
- Manage special projects as assigned
Bonus Points For:
- A degree (but relevant experience works too)
- HR or Accounting experience
- Proficiency in additional software (e.g. Adobe Creative Suite, CRM systems)
- Project management skills
- Being bilingual in Spanish and English

- Extended periods of computer work
- Ability to lift up to 20 lbs (those office snacks and supplies won’t carry themselves!)
- Report directly to senior management
- May supervise administrative support staff
