Key Responsibilities

  • Accurately create and maintain Transfer Orders in NetSuite, ensuring all details—dates, items, and quantities—align with physical shipments in transit.
  • Coordinate with freight forwarders to obtain quotes, review freight costs, and identify the most cost-effective transportation method that meets delivery timelines.
  • Facilitate on-time shipment pickups and deliveries through proactive communication and follow-ups with external freight forwarding partners.
  • Collaborate with the Purchasing Team and Supply Chain Planner to promptly address delays or transportation issues.
  • Work closely with Accounting to review and resolve freight invoice discrepancies at the end of each month.
  • Accurately apply freight and customs costs to the landed cost of inventory in a timely manner.
  • Serve as the first point of contact for any supply chain issues (e.g., delays, quality discrepancies, or capacity constraints), identifying solutions proactively.
  • Liaise with suppliers and freight forwarders to secure shipment documentation, facilitate customs clearance, and provide necessary artwork and HTS codes.
  • Act as a bridge between the Receiving Team at the Hourglass Distribution Center and Supply Chain Specialists, ensuring clear communication and swift resolution of inbound shipment discrepancies.

Qualifications & Experience

  • Minimum 3 years of logistics experience required; Bachelor’s degree preferred.
  • Familiarity with Commercial Invoices, Packing Lists, Shipper’s Letters of Instruction, and freight billing practices.
  • Experience in international logistics, purchasing, and supplier coordination is a plus.
  • Proficiency in ERP systems (NetSuite preferred).
  • Experience working with third-party freight forwarders and LTL services.
  • Strong written and verbal communication skills.
  • Ability to multi-task, prioritize work, and meet deadlines in a high-volume setting.
  • Proficiency in Microsoft Excel.
