JOB DESCRIPTION
Insight Global is seeking an experienced Executive Assistant to support the CEO of our client, a community of veterinary hospitals, located in Philadelphia, PA. This is a hybrid position, requiring 1-2 days a week onsite, however this EA must be flexible to occasionally work in the office additional days when needed. Day to day responsibilities include:
- Manage and maintain executive schedules for HR, Finance & Operations, including meetings, appointments, travel arrangements, and conference calls.
- Coordinate department meetings based on the need of the function – either weekly, monthly or quarterly and as needed.
- Prepare and edit correspondence, communications, presentations, and other documents as needed. – Handle confidential information with discretion and ensure that sensitive matters are dealt with appropriately.
- Act as a point of contact between the executive and internal/external contacts.
- Coordinate department meetings based on the needs of the function and secure space/time for meetings, including gathering and preparing materials.
- Develop event budgets, track expenses, and ensure that events stay within financial limits.
- Plan, coordinate, and execute logistics for support center events, conferences, and executive offsites.
- Arrange travel itineraries, accommodations, and transportation as necessary. –
- Prepare detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings.
- Assist in the preparation of reports and/or presentations for executive-level meetings.
- Manage special projects and initiatives as directed by leadership.
- Manage the executive’s expense reports, including the preparation, submission, and reconciliation of expenses.
Hourly Compensation: $40.0/hour – $55/hour
Exact compensation may vary based on several factors, including skills, experience, and education.
Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.
