About the job
We are seeking a highly organized, proactive, and tech-savvy Executive Personal Assistant to support a startup founder. This hybrid role is based in Santa Monica and will require travel to oversee two additional properties in Dallas and Telluride. The successful candidate will work closely with the founder’s current Executive Assistant to provide seamless support across business and personal priorities.
Key Responsibilities:
- Calendar Management: Coordinate and manage complex schedules, including meetings, appointments, and personal commitments.
- Expense Reports: Prepare, submit, and track expense reports with accuracy and attention to detail.
- Travel Management: Organize travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
- Research: Conduct research to support business or personal decisions, including vendor options, travel destinations, and event venues.
- Contact Management: Maintain and update the founder’s contact database, ensuring effective communication with key stakeholders.
- Event Management: Plan and coordinate events, both business and personal, ensuring all details are handled seamlessly.
- Gifting: Source thoughtful gifts for business and personal occasions.
- Property Oversight: Manage vendors and maintenance for three properties (Santa Monica, Dallas, and Telluride) to ensure they are well-maintained and fully stocked before the founder’s arrival.
- Errands: Handle errands as needed, such as picking up items, managing deliveries, or arranging services.
- Reservations: Book dinner reservations and other personal appointments.
- On-the-Go Support: Travel with the founder as needed to provide on-site assistance.
Key Qualifications:
- Tech Savvy: Proficient in productivity tools, calendar software, and communication platforms.
- Organized: Exceptional organizational and time-management skills, with the ability to prioritize multiple tasks.
- Proactive: Self-starter with a forward-thinking mindset to anticipate needs and address potential issues.
- Communication: Excellent written and verbal communication skills.
- Adaptability: Comfortable working in a fast-paced, dynamic environment with changing priorities.
- Child and Pet Friendly: Must be comfortable around children and dogs.
Preferred Qualifications:
- Previous experience as an Executive or Personal Assistant, preferably in a startup or entrepreneurial environment.
- Familiarity with overseeing multiple properties and managing household staff/vendors.
- Experience coordinating high-level travel and events.
Salary: Up to $140,000 DOE + benefits
