We are seeking a dynamic and resourceful Executive Personal Assistant to support a high net-worth individual in managing their personal and professional affairs seamlessly. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, outstanding communication abilities, and a keen eye for detail. This role demands someone who thrives in a fast-paced environment, maintains the highest level of discretion and confidentiality, and anticipates needs while delivering thoughtful, tailored solutions.

Responsibilities

  • Organize and oversee personal, professional, and charitable events. Assist with calendar maintenance and provide transportation as needed.
  • Assist with incoming and outgoing communications, including emails, phone calls, and correspondence.
  • Handle personal and professional errands, appointment bookings, and reservations. Manage household inventories and assist with personal purchases.
  • Support financial tasks, including tracking expenses, reviewing invoices and contracts, and managing budgets for specific projects.
  • Liaise with the family office, household staff, contractors, and service providers to ensure smooth operations and maintenance.
  • Research and coordinate vendors/contractors, oversee minor renovation projects; assist with the day-to-day preventative and regular maintenance of the homes; prepare and stock homes for family/guests’ arrival.
  • Manage and execute domestic and international travel. Ensure all travel documents are updated and manage document renewals.
  • Conduct research on various topics, including travel destinations, dining options, products, and services.
  • Provide support for ad hoc projects, events, and initiatives for the principal, broader family, and family foundation.
  • Anticipate daily needs of family and Principal once established in the role.

This is a hybrid position, requiring some in-person work between family residences and family offices (northern suburbs and Chicago). Travel may be required seasonally. There may be an occasional need for evening or weekend availability.

Ideal Experience

  • Bachelor’s degree with 5+ successful years of experience as an Executive Personal Assistant or in a similar role.
  • Experience working with high-net-worth individuals or families, demonstrating a positive, can-do attitude.
  • Strong written and verbal communication skills internally and externally.
  • Superior capacity to prioritize and manage multiple diverse projects simultaneously.
  • Must think strategically, make sound decisions, and produce accurate and timely results.
  • Extremely detail-oriented with impeccable follow-up and follow-through skills.
  • Ability to maintain strong, supportive relationships with family, office, household staff, and service providers.
  • Must demonstrate integrity, confidentiality, and professionalism.
  • Flexibility and adaptability to changing needs and priorities.
  • Proficiency in Microsoft Office Suite; familiar with both Mac and PC.
  • Valid driver’s license and reliable transportation to and from multiple locations.
