Executive Personal Assistant

Position Overview:
We are seeking a highly organized, client-focused Executive Personal Assistant to provide specialized support to the Co-Chair of the Insolvency & Restructuring Department. This role requires exceptional organizational skills, professionalism, and the ability to navigate fast-paced environments. As an integral member of the team, you will handle a range of responsibilities, from managing schedules and coordinating meetings to providing comprehensive administrative and personal support.
Key Responsibilities:
- Provide administrative and personal support to assigned Attorney(s), ensuring seamless operations.
- Maintain and organize detailed records, databases, and lists of client and personal information with accuracy.
- Schedule appointments, manage calendars, coordinate meetings, and handle travel arrangements.
- Assist in managing professional networks, including maintaining contacts and leveraging relationships.
- Support event coordination, including client meetings and post-event follow-ups.
- Utilize discretion and maintain confidentiality in handling sensitive matters.
- Perform data analysis, budget management, and prepare expense reports.
- Navigate New York City efficiently to arrange deliveries, recommend venues, and facilitate tasks on behalf of the Attorney(s).
- Coordinate client gifts and ensure timely delivery.
- Answer, screen, and manage incoming communications, including phone calls and emails.
- Assist with billing responsibilities for Attorney(s) and potential client matters.
- Collaborate with the broader support team to enhance operational efficiency.
Qualifications:
- Education: College degree or equivalent experience required.
- Experience: At least three years of personal, executive, or C-level support experience; legal industry experience is a plus.
- Skills:
- Strong communication skills to liaise effectively with clients, peers, and vendors.
- Advanced proficiency in Microsoft Office Suite, particularly Word and Excel; knowledge of Outlook, PowerPoint, and Adobe Acrobat is a plus.
- Excellent organizational skills with a high level of accuracy and attention to detail.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Exceptional interpersonal and problem-solving skills with a proactive approach.
- Additional Requirements:
- Familiarity with navigating and utilizing resources in New York City.
- Ability to handle confidential information with discretion.
- Willingness to work occasional overtime, including after hours, weekends, and holidays.
- Local travel for client-related tasks.

- Salary Range: $90,000 to $100,000 (commensurate with experience).
