With a fast-paced and dynamic environment, we are seeking a highly organized and resourceful Executive Assistant to support our CEO in managing daily operations, schedules, and strategic priorities. Experience in the field of construction is a plus.
Position Summary:
The Executive Assistant to the CEO will serve as a trusted partner, handling administrative, logistical, and organizational tasks to optimize the CEO’s productivity. This role requires exceptional attention to detail, confidentiality, and the ability to thrive in a fast-paced, entrepreneurial setting.
Key Responsibilities:
• Manage the CEO’s calendar, schedule appointments, and coordinate meetings with internal and external stakeholders.
• Prepare agendas, take minutes, and follow up on action items for key meetings.
• Handle confidential correspondence and communications on behalf of the CEO.
• Arrange domestic and international travel, including flights, accommodations, and itineraries.
• Oversee personal and business-related errands and tasks as needed.
• Monitor email inboxes, prioritize messages, and draft responses when appropriate.
• Assist with project management, tracking deadlines, and ensuring timely completion of tasks.
• Conduct research and prepare presentations, reports, and other documents.
• Liaise with vendors, clients, and team members to ensure smooth operations.
• Support the CEO in personal matters, including event planning, household management, and more.
Qualifications:
• Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
• Proven experience as an executive or personal assistant to a high-level executive.
• Exceptional organizational and multitasking skills with a keen eye for detail.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
• Ability to maintain confidentiality and exercise discretion.
• Self-motivated, proactive, and able to work independently in a fast-paced environment.
• Flexible and adaptable to changing priorities and schedules.
