About the job

Our client, one of the world’s largest investment management firms, is seeking an experienced Executive Assistant. The position is on site at their beautiful Midtown, Manhattan office.

Job Responsibilities

  • Screen large volumes of calls
  • Greet Guests in a professional manner
  • Arrange complex travel plans, create itineraries, and obtain necessary documents
  • Schedule and organize meetings, events, and conferences
  • Prepare and edit relevant materials
  • Oversee Bi-Weekly Partners meeting, including gathering and distribution of necessary materials
  • Calendar management
  • Establish and maintain a filing system
  • Allocate and process expenses for professionals using different expense management systems
  • Coordinate logistics for recruitment and coordination of new employees
  • Compose letters, memos, invitations, agendas, and correspondence on behalf of executives
  • Use US Mail, FedEx, and other services

 

Skills and Qualifications

  • Bachelor’s Degree or 4+ years of administrative assistance, or combination of education and experience
  • Ability to thrive in a fast-paced work environment
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Outlook, Excel, Word, and PowerPoint
  • Ability to use standard office equipment
  • Experience in Finance preferred
