Position Summary
The Executive Assistant provides high-level administrative support to executives within the organization. This role includes managing calendars, coordinating meetings, preparing correspondence, and assisting with projects to ensure smooth day-to-day operations.
Key Responsibilities
- Calendar & Meeting Management:
- Schedule, coordinate, and manage executive calendars.
- Plan and organize internal/external meetings, ensuring all logistics are handled.
- Administrative Support:
- Draft, proofread, and finalize correspondence, presentations, and reports.
- Manage email communications and follow-ups on behalf of executives.
- Organize and maintain confidential files and records.
- Coordination & Project Support:
- Coordinate travel arrangements, itineraries, and expense reports.
- Assist with planning events, special projects, and key initiatives.
- Act as a liaison between executives and other departments.
- Operational Support:
- Ensure the timely completion of deliverables and follow up on action items.
- Handle office management tasks, such as ordering supplies and managing vendors.
Qualifications
- Education: High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
- Experience:
- 5+ years of experience supporting executives in a fast-paced environment.
- 7+ years of secretarial experience
- Previous experience in healthcare or large organizations is a plus.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication skills—verbal and written.
- Exceptional organizational and time management abilities.
- Ability to maintain confidentiality and prioritize tasks effectively.
- Strong problem-solving skills and attention to detail.
