Our client, a global leader in cutting-edge cancer research and diagnostics, specializing in personalized cancer treatment, is looking for an Event Coordinator to join their team! The Event Coordinator will support their Account Executives and Clinical Consultants by booking and managing events, podcasts, interviews, and other engagements. The ideal candidate thrives in a fast-paced environment, excels in multitasking, and has a knack for logistics and budgeting. This role requires someone who is resourceful, analytical, and capable of tracking and managing multiple moving parts with precision. Having a healthcare background is a huge advantage for this position.
***This role is 100% remote with the occasional trip into the office and travel to the events
Responsibilities:
- Research and schedule events, including podcast appearances, interviews, conferences, and company-organized events.
- Secure venues, vendors, and services, ensuring that all event logistics are effectively managed.
- Develop and maintain strong relationships with hosts, organizers, and key stakeholders.
- Maintain a consistent workflow and create standard operating procedures (SOPs) for all processes.
- Assist with developing short- and long-term event plans (30, 60, 90, 180, 365 days).
- Coordinate schedules, travel arrangements, and event materials to ensure seamless participation.
- Manage event timelines, ensuring all deadlines and deliverables are met.
- Handle unexpected challenges efficiently to ensure successful outcomes.
- Develop and maintain budgets for events and engagements.
- Track expenses and ensure cost-effectiveness without compromising quality.
- Maintain detailed records of all activities, engagements, and feedback.
- Utilize spreadsheets and project management tools to track event metrics such as attendance, conversion rates, and ROI.
- Conduct post-event evaluations, collecting feedback from attendees, event partners, and internal teams.
- Analyze KPIs to assess strengths and areas for improvement.
- Utilize tools such as Zendesk, HubSpot, and other CRM systems.
- Act as the central point of contact for all event-related inquiries.
- Coordinate with internal teams to align objectives and ensure preparedness for each event.
- Work closely with Marketing to ensure effective promotion through social media, email campaigns, and other channels
Qualifications:
- Proven experience in event coordination, project management, or a similar role.
- Exceptional organizational and time-management skills, with an ability to prioritize tasks effectively.
- Proficient in budget management, spreadsheets, and project management tools.
- Strong logical reasoning and problem-solving abilities.
- Excellent verbal and written communication skills.
- Ability to multitask and work efficiently in a remote environment.
- Flexibility to travel as required.
- Familiarity with scheduling tools and CRM software is a plus.
