Duties:
- Manage executive calendaring and schedule meetings, update reference guides, and anticipate executive needs
- Maintain distribution lists, oversee the department calendar, and manage all-hands meetings
- Handle onboarding and offboarding processes, enter and track service tickets, and expedite access requests
- Take notes, create meeting recaps, draft agendas, and prepare and disseminate meeting materials
- Coordinate on-site events, book conference rooms, and arrange catering services
- Manage domestic and international travel arrangements, including booking flights and hotels
- Send and receive equipment such as computers and monitors, and coordinate with the Service Desk for repairs
- Collect and reconcile Amex expenses in Concur
- Support the finance team by processing SMA purchase orders, invoices, and contract renewals
Desired Skills/Experience:
- 4+ years of experience as an Administrative Assistant or Executive Assistant, including up to 3 years working directly for a manager or executive
- 2+ years of university or college training in English, Liberal Arts, or related subjects; or graduation from a technical program in secretarial or office support services
- Proficient in Office 365 suite such as Word, PowerPoint, and Excel
- Strong written and verbal communication skills
- Previous experience in an IS / Data management organization
