Personal Assistant to the CEO

We are a leading primary research firm that provides critical insights to business and investment professionals through on-demand interactions with our global network of industry experts. Our clients include corporations, private equity and venture capital firms, consulting firms, and asset management firms, all of whom rely on us for accurate and efficient industry intelligence.
We are seeking a highly organized and resourceful Personal Assistant to support our CEO in a dynamic, fast-paced environment. This role requires a 24/7 mentality, the ability to anticipate needs, and exceptional attention to detail. The ideal candidate is proactive, polished, and comfortable handling both professional and personal tasks with the utmost discretion.
Key Responsibilities:
- Executive Support: Manage CEO’s complex calendar, schedule meetings, handle correspondence, and screen calls.
- Travel Coordination: Arrange and oversee all domestic and international travel, including flights, hotels, car services, and itinerary management.
- Event & Reservation Management: Coordinate business dinners, secure restaurant reservations, and manage social engagements.
- Client & Meeting Coordination: Organize and facilitate high-profile client meetings and engagements.
- Technology Liaison: Work with IT to address any technical issues related to computers, phones, or networks.
- Presentation & Document Preparation: Assist in creating PowerPoint presentations, memos, and reports.
- Mail & Gifting: Oversee mailings, FedEx shipments, and corporate gifting initiatives.
- Contact Management: Maintain business and personal contacts with integrity and discretion.
- Personal Errands: Handle various personal tasks and special requests as needed.
- Event Planning: Assist with the organization and execution of company events and functions.
- Ad-Hoc Projects: Take on additional responsibilities and special projects as required.
Qualifications:
- Bachelor’s degree preferred.
- Highly organized with impeccable attention to detail.
- Strong problem-solving and decision-making abilities.
- 24/7 availability and flexibility to support an executive with a demanding schedule.
- Excellent written and verbal communication skills.
- Ability to multi-task and prioritize in a fast-paced environment.
- Professional, poised, and discreet when handling confidential matters.
- Experience managing high-level travel and logistics (domestic and international).
- Prior experience as an executive or personal assistant preferred.
