Our client, a private family office is seeking a discerning and poised Executive/Personal Family Assistant with a strong drive for excellence to support their Principal and his family. This is a wonderful opportunity to provide high-touch, personal and professional support in a corporate setting while working with a wonderful team and family. The ideal candidate has solid judgment, is incredibly organized, tech savvy, and solution-oriented.
You will be organizing the affairs and logistics of the principal and his family out of their midtown NY office.
This role is 5x week onsite.
About You:
You are a diligent, perfectionist with 4+ years of experience in Personal Assistance, or Executive Assistance, You are an expert organizer, an efficient multitasker, and your communication skills are second to none. A true professional, this role requires discretion, adaptability, and detail.
Responsibilities will include:
- Managing the day to day schedules of the principal and family, including the children’s schedule (i.e. practice, school, post-school activities).
- Coordinating complex travel for multiple people, both domestic and international, from start to finish. Managing all visa and passport requirements and processes.
- Coordinating with household staff and vendors when needed
- Oversee household inventory and projects as needed
- Manage health and wellness appointments, medication purchasing and insurance claims
- Ensuring seamless communication and correspondence both internally and externally between all parties
- Manage bills and payments for household and personal matters, updating financial records and reports
What you bring to the role:
- At least 4+ years of experience as a Personal Assistant or Executive Assistant working in a corporate office setting
- Unmatched organizational skills and multi-tasking abilities.
- Thorough understanding of exercising discretion and respect for privacy.
- Warm, welcoming demeanor and Team player mentality.
- Go-getter attitude
- Resourceful and able to work autonomously, utilizing your experience and networks to be make efficient, smart suggestions and decisions
