Job Title: Executive Assistant

Location: Onsite, Monday-Friday

Job Summary: The Executive Assistant provides a wide range of complex services to support vice president level executives who are engaged in the strategic management of the organization. This role relieves the executive(s) of workload by answering questions, furnishing information, composing correspondence, and gathering data and information. The assistant prepares reports and documents using several software applications and performs all duties necessary to ensure that executive(s) meet their working obligations.

Essential Functions:

  • Prepare complex confidential information such as documents, reports, charts, and graphs using a variety of software.
  • Perform independent research and prepare information for special projects.
  • Relieve executive of work by answering questions and furnishing information, reviewing incoming correspondence, and routing it to the appropriate individual. Compose replies as appropriate.
  • Screen phone calls and provide information required for the routine, ongoing conduct of business. Refer exceptional or complex situations to the executive for further action.
  • Resolve problems requiring in-depth knowledge of organization policies and procedures and projects in process. Relay information regarding organization policies and inform the executive of any deviations on items requiring attention.
  • Provide support to the executive for the coordination of meetings, including board meetings, retreats, and meetings with community leaders. Attend meetings requiring executive or senior management participation and take and transcribe minutes of those meetings.
  • Schedule appointments to ensure that the executive meets their commitments. Exercise independent judgment regarding priorities and rescheduling. Initiate communication to ensure an efficient calendar of events. Coordinate all travel arrangements and prepare expense reports.
  • Establish, maintain, and retrieve filed information and correspondence to ensure immediate access to data for the execution of the executive’s duties.
  • Establish and maintain effective working relationships within the organization. Attend mandatory meetings and in-services as required. Provide guidance and direction to administrative support personnel. May provide back-up to other Administrative and Executive Assistants, providing administrative support in their absence.
  • Participate in ongoing quality monitoring and process improvement activities related to services.
  • Ensure confidentiality of all sensitive information, data, and communications to protect privacy, maintain confidentiality, and protect the organization.

Qualifications:

  • Required associate’s degree (or equivalent education and experience)
  • 3 years of relevant experience in the capacity of a senior-level assistant to executives in a large organization
