Full-Time, Year-Round, On-Site (not remote nor hybrid)

The Controller will oversee the day-to-day operations of the accounting department and ensure sound financial management for the organization. This role includes recruiting, training, and supervising accounting staff, implementing strong internal controls, and supporting the development of audit and accounting functions within the company.

 

Responsibilities/Duties:

Direct supervision of the following functions: Payroll, Accounts Payable and Accounts Receivable, Purchasing and Cash Room operations.
Identify opportunities for process improvements within the department, developing and implementing strategies to increase operational efficiency and reduce errors.
Develop and implement comprehensive documentation for key financial processes and oversee cross-training initiatives to ensure business continuity.
Manage all journal entries and maintain the accuracy and integrity of the general ledger at all times, ensuring timely and accurate financial reporting.
Review and oversee the posting of General Ledger, Accounts Payable, and Accounts Receivable batches, ensuring accuracy and compliance with accounting standards.
Oversee accurate and timely semi-monthly payroll processing, review the payroll register before processing and supervise the payroll team to ensure compliance and precision.
Ensure accurate and timely monthly reconciliations of all balance sheet accounts, identifying and resolving discrepancies as needed.
Assist in the development and preparation of the annual operating budget for each department. Prepare and deliver special reports as required to support strategic financial planning.
Prepare monthly profit and loss statements and balance sheets for the Association, ensuring all reports are compliant with GAAP and internal accounting procedures.
Lead the preparation and coordination efforts for the annual audit conducted by an independent auditing firm. Provide support for income tax filings and regulatory compliance as needed.
Prepare and submit sales tax, fuel tax credit and other regulatory forms and payments. Ensure timely and accurate filings in compliance with federal and state requirements.
Prepare Federal 1094/1095 tax forms and manage related compliance tracking ensuring deadlines are met and records are accurate.
Prepare capital project reports, set up approved capital project numbers, and maintain the fixed asset ledger, ensuring accurate tracking of depreciation expense.

Requirements/Qualifications:

Bachelor’s degree in finance, accounting or business is required. Active CPA preferred, or if you are in the process of pursuing CPA licensure as well would be favorable.
5+ years of experience in finance, accounting and budgeting and cost control principles including Generally Accepted Accounting Principles (GAAP) and fund accounting are required.
Prior accounting Management experience at Accounting Manager, Assistant Controller or Controller level.
Knowledge of automated financial and accounting reporting systems is required.
Ideally have experience or be able to develop a basic understanding of Davis-Stirling and California Civil Code 5501 as related to HOA finance and budgeting.
Knowledge of federal and state financial regulations.
Ability to motivate team and produce quality materials with tight time frames and simultaneously manage several projects.
Demonstrated ability to assess and translate significant quantities of data into information and discern key findings, including ability to synthesize, develop, package, and communicate concise, logical, fact-based presentations, and make well-founded recommendations.
Requires possession of a valid Class C drivers license with a driving record meeting the minimum standards required by the Association insurance carrier.
