About the job

A Private Equity company in Venice, CA is seeking an Executive Assistant to support the partnership. The ideal candidate is an extremely organized individual who thrives in a fast-paced environment and loves helping others. This role requires creativity and the ability to work within a high-growth, entrepreneurial setting that is both mission- and results-driven. The Executive Assistant must exercise good judgment, possess exceptional communication and organizational skills, demonstrate impeccable time management, and maintain a proactive approach. This position also requires the ability to work independently on projects from conception to completion.

Typical Responsibilities

  • Arrange domestic and international travel itineraries, including flights, accommodations, and transportation.
  • Prepare detailed travel agendas and ensure executives have all necessary documents and information.
  • Maintain and organize the partners’ calendars, scheduling meetings and appointments.
  • Coordinate with internal and external parties to optimize time management.
  • Plan and organize meetings, including agenda preparation, venue booking, and logistics for special events.
  • Support various special projects and initiatives, ensuring timely completion.
  • Conduct research and compile data to support executive decision-making. Present options and pricing based on findings.
  • Manage the selection and delivery of special gifts, such as flowers and spirits.
  • Assist partners with personal matters, as needed.
  • Provide general office administration support.
  • Manage expenses, invoices, and reimbursements. Maintain accurate records and reconcile accounts.
  • Serve as an additional point of contact for internal and external stakeholders, filtering and prioritizing incoming communications.
  • Handle sensitive and confidential information with discretion and professionalism. Maintain a high level of integrity in all interactions and tasks.

Ideal Candidate:

  • 3-5+ years of proven experience as an Executive Assistant or in a similar role, supporting senior leadership.
  • Proficiency in Microsoft Office Suite.
  • Exceptional organizational and multitasking skills, with the ability to prioritize tasks efficiently.
  • Strong verbal and written communication skills with keen attention to detail.
  • Ability to anticipate needs and proactively address issues.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to work in a fast-paced environment with changing priorities.
  • Professional demeanor and excellent interpersonal skills.
  • Availability to work occasional evenings or weekends, as needed.
